Time and Attendance for all employees is in a separate module within ADP called Workforce Manager. To navigate to Workforce Manager and review time away from work requests, select the My Team tab > Workforce Management > Dashboard or select the Time Management System icon on your KIPP homepage. If you are a DSO approving time for your direct reports, use this guide to navigate to your secondary role.
Review time off requests on homepage - Control Center
Note: If you have a new direct report who has already submitted a time off request, that was not approved by their previous manager, your direct report will need to cancel their request and resubmit. Only the resubmitted request will route to you for approval. You will NOT be able to view or take action on the old request.
When your direct report submits a new time away from work request, you will receive an email notification with the subject line “A request for time off Request - Fixed has been Submitted”. One way to review an employee’s time off request is through the Control Center display on your Workforce Manager homepage. A Control Center notification icon will show how many pending time off requests require action from you.
- Click the Control Center notification icon on the top-right of your screen and scroll to an employee’s request.
- You can Approve or Refuse the request directly from the notification center.
- Click View All to access the Control Center full page view where you can see all requests for all employees that you manage.
- Refer to the next section for further details on the Control Center full page view.
Review time off requests through “My Notifications”
Another way to review time away requests for employees is to navigate to the Control Center full screen view through your Workforce Manager homepage. On your homepage, you will see a tile labeled My Notifications and the sub-category called Employee Requests.
To review a time off request, click Employee Requests:
- When redirected to the Control Center full page view, confirm that the Employee Requests category is selected.
- Click the Filter dropdown to view all requests statuses and the Calendar dropdown to filter by Time Frame.
- The most recent time off submission will display at the top of the requests list. Scroll and select the request you need to review.
- Use the toolbar options on the top right of the page to take action on the selected time away request.
Note: Although you are able to select multiple requests at once, you are only allowed to approve them individually.
Review time off requests - Schedule Planner, SLs and DSOs only
You can review time off requests for all staff at your school by going to the Schedule Planner in Workforce Manager. Open the three lines menu on the top left of your Workforce Manager homepage > Schedule > Schedule Planner.
The Schedule Planner page will show you all time off requests, submitted and approved, for any employee at your school location. Change the calendar view on the Schedule Planner page to see a specific day or timeframe.
You can also search to view one specific employee at a time.
To approve a time off request through Schedule Planner:
- Go to the specific day and employee.
- You will see the employee’s assigned schedule and only be able to take action on requests with the status of “Submitted”. Right click on the status to view all details of the request and select Approve or Reject.
- You can also modify the request, cancel, and add a comment from this window.
- After the request is approved, the assigned schedule will be removed for the hours the request was submitted for and the status of the request will now show Approved.
- If a time off request was submitted for half a day or a few hours, the employee's assigned schedule will be removed for those specific hours only. Full day request will show no schedule at all.
After the request is approved, the only action you are able to take is to Cancel the request by right clicking on the Approved status > Cancel.
