This article outlines how to use the Room Finder feature in Outlook to book a Room 9 conference room for a meeting.
1. To create a new meeting, go to the Home tab and select New Items > Meeting (Ctrl + Shift + Q), or on Calendar view right-click the desired date and select New Meeting Request.
2. When a New Meeting is opened, you will see the Room Finder feature
- Conference rooms for KNJ-Rooms-R9 will be displayed. Select the room you want to reserve, followed by any invitees. To view a room's availability, navigate over to "Scheduling Assistant" and select the room(s) to display its schedule.
- Under Scheduling Assistant; you can select the room(s) you want to reserve and it will display the availability for the day and/or start/end time selected. *Reminder to un-select any room(s) you won't be reserving so you do not accidentally reserve more than one room at a time!
- If the time chosen is already taken, the room under the room finder will be shown as "Unavailable". Please select a new available time slot.
3. You will receive confirmation email(s) on whether or not your reservation was accepted or declined (due to the timeslot already being reserved).
4. Don't forget to add any attendees to your reservation. Add Attendees and select Send to complete your new meeting request and room booking.
