Employee timecards are housed in a separate module within ADP called Workforce Manager. To navigate to Workforce Manager, select the My Team tab > Workforce Management > Dashboard or select the Time Management System icon on your KIPP homepage. Navigate to employee timecards
One way to review employee timecards is through the Manage Timecards tile displayed on your homepage. In the Manage Timecards tile, click the curved arrow near the top right corner of the tile.
Use the down arrow to open a dropdown and select an employee’s name or use the left and right arrows to navigate between different employee timecards.
Use the calendar icon to change the Timeframe to view a specific pay period or date range. Select the Locations & Hyperfinds dropdown for more options to filter which employees’ timecards you are viewing.
If you need to review the timecard for a terminated employee, change your calendar view to the dates that you need to review. Click the Locations & Hyperfinds dropdown and select the Inactive or Terminated hyperfind that is preceded by your applicable entity (i.e. TEAM inactive or terminated).
Enter or edit time for employee
As managers you have the ability to enter or modify time worked for your employees. To enter or modify time for an employee, navigate to the employee’s timecard and find the date that you need to enter or modify time for:
- Double click to enter or edit the In time for the employee. Click Enter.
- Double click to enter or edit the Out time for the employee. Click Enter.
- Click Save.
Review and Approve timecards
Please review the Payroll Calendar to ensure that you are aware of the approval deadlines for each pay period.
To approve a timecard:
- Review the employee’s timecard.
- Click Approve located in the top left toolbar of the Employee Timecards page.
- A banner message will display indicating successful approval and the timecard will become read only.
If there is a need to remove an approval on a timecard to make a time edit:
- Click Remove Approval located in the top left toolbar of the Employee Timecards page.
- A banner message will display indicating successful removal of timecard approval.
- Make the Edit.
- Click Save.
- Click Approve.
- A banner message will display indicating successful approval and the timecard will become read only.
Homepage menu options
The menu options available through your Workforce Manager homepage provide you with another way to access employee timecards, access Dataviews & Reports, and access to your own calendar and timecard. To navigate to your menu options, select the menu icon on the top left of your home page.
Dataviews
The Dataview Library gives you access to summarized timecard information for the employees that you manage. Open the three lines menu located on the top left of your Workforce Manager home page > Dataviews & Reports > Dataview Library.
You can use the Pay period Close Dataview and change your calendar view to the previous pay period to review the following:
- All hours worked (regular and overtime)
- Hours taken for all time off reason codes
- How many missed In punches
- how many missed Out punches
- View if the timecard was approved
- View if the timecard was signed off (by HR)
- The employee type (exempt, nonexempt, hourly)
- The employee's location + department.
You can also click the "Share" button to export any Dataview to excel.
