If an employee's shift needs to be changed for one specific day (i.e. Wellness Wednesdays), you can use the Replace Shift feature in Schedule Planner. Search for the employee’s name OR group by Job Title > click the checkbox to the left of the employee(s) name > right click on the employee’s name > select Replace Shift. A separate window will open on the right of the Schedule Planner page.
In order to replace a shift for multiple employees at once, the selected employees MUST have the same start and end time on their current shift. For example, if a Para has a start time at 9am and a Teacher has a start time at 7am, you should not group these employees together and replace their shift, it will need to be done separately.
To replace a shift:
- The first step is to enter the Day and Start Time and End Time of the shift that you are replacing. Click Next.
- The system will default to the current day.
- Click the Use Template button to search and select the new shift you will need to add for these employees. The selected template will auto populate the new Start Time and End Time.
- The shifts displayed on the Choose Template screen are those created under Application Setup > Scheduler Setup > Shift Templates.
- If you did not create a new shift template to select for this day, you can manually enter the Start Time and End Time for the new shift.
- Click Apply.
- The shift for the specific day you are changing will be updated with the new Start and End Times, for the employees you have selected.
- Click Save on the Schedule Planner page to finalize your changes.
If you have selected an employee who has a different shift than what you entered on Step 1, the system will display a warning message. It is important to only group and replace shifts for employees who already have the same shift times assigned.
