This guide outlines the step-by-step process for setting up ADP to track employee timeliness. Essential Time requires employees' scheduled start and end times to accurately identify late arrivals or early departures. DSOs must input this information by creating and configuring employee schedules, then assigning these schedules directly to employees.
The following table describes the components that must be configured to track timeliness effectively.

To begin creating schedules, navigate to People > Time & Attendance > Schedule Templates
Schedule Templates
To assign shifts to specific days of the week, you'll need to create a Schedule Template. To do this, navigate to People > Time & Attendance > Schedule Templates > Create new.
- Enter the Name of the Template using the format "School Name + Role".

- All DSOs have access to every template created, so prefix your template names with your school’s name to prevent accidental assignment or modification by other DSOs.
- After the prefix, choose a naming convention that best suits your school's needs. For example, you might include roles, shift times, or departments such as Royalty Teacher, LSP 730a - 430p, or NCA Math.

- Copy the template Name into the Description field and select the Effective Date.
- Click the box corresponding to the initial day you want to apply the template. The Add Shift popup will appear.
- Enter the desired Start Time and End Time for the shift, then select the days of the week the shift applies to. The initial day you clicked will already be selected and grayed out; select only the additional days required.
- Click Add Shift below the days of the week to save your changes.
Assigning schedules to employees
After adding the shift to your Schedule Template, assign the template to employees by navigating back to the Schedule Templates screen. Next, select Manage Assignments on the row corresponding to your template.
Note: The employees displayed for assignment are determined by the list you selected before choosing Manage Assignments.
To begin assigning shifts to employees:
- Select the checkbox next to the employee(s) name(s), then click Next.
- On the Set Dates tab, you can use the Set date range for all employees option to apply updates to all selected staff simultaneously.
- Enter the Start Date.
- For employees starting at the beginning of the year, this should be the first day they are expected to punch in (e.g., the first day of school).
- For midyear hires, enter their hire start date.
- The Start Week should typically remain set to 1.
- Enter the End Date.
- This should correspond to the last day of school.
- Click Submit to save your changes.
View Schedules
Navigate to People > Time & Attendance > Schedules
Here you have access to all the same options from the templates screen, now presented in a grid layout for easier navigation.
Quick Shifts
Within this view, select any day to display the Quick Shifts option in an expanded menu. Use Quick Shifts for one-off or unique shifts (e.g., Wellness Wednesday) that apply to specific dates. Before assigning a Quick Shift, first delete any existing shifts already assigned for those days.
After selecting Quick Shifts, an Add Quick Shift popup will appear. Enter the Shift Name and the Start and End times. After completing these fields, click Done to save.
Once your Quick Shift is created, it will appear as an available tile under the expanded Quick Shifts menu. Select the tile and then drag and drop it onto the selected days you want the shift applied.
